Definition of the Role:

To provide high quality flexible and competent support to YMCA St Helens Youth and Development department through the provision of administrative and other supportive functions.

Purpose of the Role:

To assist the Youth and Development department with the administrative control of new projects in development and the day-to-day delivery of our early intervention Listening Service.

Main Duties and Responsibilities:

  • Managing referrals and allocation of appointments
  • Updating and maintaining the operational systems including electronic records, using excel and other systems (including Lamplight MIS and Excel)
  • Communicating with external agencies
  • Receive enquiries, in person and on the telephone, from young people and the public advising and directing accordingly.
  • Maintain records of Young Peoples consent forms, contact details etc – communicating gaps to relevant managers/team leaders
  • Minute taking at scheduled meetings
  • Ensure a central calendar of 1:1 appointment’s is maintained and is up to date
  • Support in the development and distribution of marketing and promotional material, including via social media, website and social events
  • Keep abreast of organisational policies and procedures and ensure they are followed (especially GDPR).
  • Receive information from other members of staff and act upon as required.
  • To work collaboratively with the Compliance Administrator to Maintain appropriate statistical information and records.
  • To work collaboratively with the Early Intervention Youth Hub Manager to ensure the smooth running of the Listening Service
  • General office administration as required
  • Responding to booking enquiries for the Youth Hub, maintaining the booking diary and communicating weekly with relevant staff members

Additional Duties:

Skills and Attributes:

Essential:

  • Strong admin skills
  • Experience, qualifications, and understanding related to administration
  • Strong practical understanding of data protection and confidentiality.
  • Good practical knowledge/understanding of Microsoft Word, Excel, forms and other Microsoft 365 software
  • Good relationship/communication skills
  • Self-motivated with high level of initiative
  • Excellent interpersonal and networking skills
  • Patience, tolerance and flexibility
  • Ability to work unsupervised and deliver quality work. 

Desirable:

  • Experience using Lamplight MIS system
  • Flexible approach to working, able to adapt to changing landscape
  • Capacity to engage with people from various sectors, cultures and traditions.
  • Qualified in First Aid
  • Flexible approach to working, able to adapt to changing landscape
  • Strong social media skills and understanding of website editing via WordPress.
