Definition of the Role:

To provide high quality flexible and competent support to YMCA St Helens through provision of administrative, and other supportive functions.

 

Purpose of the Role:

As the Corporate Services Admin, your key function is to assist our Corporate Services Manager with the day to day administrative control of the organisation.

 

Responsibilities:

  • Minute taking at scheduled meetings: Health & Wellbeing, Health & Safety, team meetings.

  • Coordinate and administer the reward and recognition processes: Celebration Corner, Length of Service.
  • Collate Health & Safety concerns including incident forms, and issue report to the Health and Safety committee.
  • Scan and file Health and Safety reports.
  • Update and escalate Risk Assessments for approval to SLT.
  • Monitor and schedule policy and procedure reviews, seeking SLT approval.
  • Maintain appropriate records of the organisations risk assessments.
  • Maintain the office filing/archiving system in both hard and electronic format.
  • Record and file external inspection reports.
  • Scan and file all maintenance job sheets and records.
  • Maintain a log of all contracts and email managers before review dates to ensure managers have time to seek alternative quotes.
  • Help maintain YMCA Central Calendar.
  • The provision of general administration service including typing, photocopying etc including general support and assistance where necessary to all areas of the corporate admin team.
  • Provide assistance to Housing Admin, Finance Officer and HR Admin when needed, as part of the Central Admin team.
  • Cover time sensitive tasks in other areas of the corporate admin team when sickness or holidays occur.
  • Other duties assigned by the line manager or a senior member of staff from time to time.

Salary £21,931 per Annum

35 hours per week
